Information we collect
Information you give us
- Contact form: your name, email address, phone number, company name (optional), the service you are interested in and your message.
- Pricing and service selections: if you click a package or service link (for example from our Pricing page), the selected package or service is passed to the contact form so we know what you are enquiring about.
- Newsletter: your email address and the page where you signed up.
- Client projects: billing contact details, project information, content, logins or materials you choose to share so we can deliver the work.
Information collected automatically
- Server logs: our hosting server records technical information such as IP address, browser type, pages requested, referring page and date and time, for security, troubleshooting and abuse prevention.
- Cookies: see the Cookies section below and our Cookie Policy.
We do not knowingly collect information from children under 13, and our services are intended for businesses.
How we use personal information
- To respond to enquiries and prepare quotes or recommendations.
- To deliver, manage and invoice services you have engaged us for.
- To send newsletters and marketing emails, only where you have given consent.
- To secure the Website, prevent spam and fraud, and fix technical problems.
- To understand how the Website is used and improve it (if analytics is enabled, see below).
- To meet legal, accounting and tax obligations.
We collect only the information reasonably needed for these purposes and will ask for your consent before using it for a new purpose.
Consent
By submitting a form you consent to our use of the information for the purpose stated at the point of collection. You may withdraw consent at any time, subject to legal or contractual restrictions, by contacting us. Withdrawing consent may mean we cannot provide a requested service.
Email marketing and CASL
We send commercial electronic messages only with your express or implied consent as permitted by CASL. Every marketing email identifies AIM Infotech, includes our contact details and contains a working unsubscribe link. Unsubscribe requests are processed within 10 business days. Transactional messages about an active enquiry or project are not marketing messages.
Google Analytics, advertising and third-party services
At the date of this policy the Website does not load third-party analytics, advertising, chat or map scripts. We may add Google Analytics 4, Google Search Console verification, Google Ads conversion tracking or an embedded Google Map in the future. If we do:
- Google may collect information such as device, browser, approximate location and pages visited, and may use cookies or similar identifiers. Learn how Google uses data at How Google uses information from sites that use its services.
- We will use Google Consent Mode so that non-essential analytics and advertising storage is only used after you consent, where consent is required.
- Where advertising features (such as remarketing) are used, you can manage ad personalisation in Google Ad Settings and opt out of Google Analytics with the Google Analytics Opt-out Browser Add-on.
- We will update this policy and our Cookie Policy before enabling any such tool.
Cookies
We use only cookies that are necessary for the Website to function and stay secure, such as session or form-protection cookies. Any analytics or advertising cookies will only be set after consent. Details are in our Cookie Policy.
Sharing and disclosure
We do not sell or rent personal information. We share it only with:
- Service providers who help us operate, such as trusted web hosting, email delivery, newsletter, accounting and payment providers. They may use the information only to provide services to us and must protect it.
- Authorities where required by law, or to protect our rights, clients or users.
- A successor business in the event of a merger or sale, subject to equivalent protections.
Storage outside Canada
Some of our service providers may store or process information outside Canada, including in the United States. Information processed in another country is subject to that country's laws and may be accessible to its courts, law enforcement and national security authorities. You may contact us for information about our policies and practices regarding service providers outside Canada.
Retention
We keep enquiry information for as long as needed to respond and follow up, for up to 24 months after last contact, and client records for as long as required for contracts, accounting and tax law. When information is no longer needed, we securely delete or anonymise it.
Security
We use reasonable physical, administrative and technical safeguards, including HTTPS encryption, access controls and spam protection. No system is completely secure. If a breach creates a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada and/or the Office of the Information and Privacy Commissioner of Alberta as required by law.
Your rights
You may request access to the personal information we hold about you, ask us to correct it, or withdraw consent. We will respond within 30 days, or tell you if we need more time as the law allows. We may need to verify your identity. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner of Alberta.
